OUR RECOMMENDATION

Best Expense and Receipt Tracking for Canadian Small Businesses

We looked at 7 expense tracking products sold to Canadian small businesses. Here is what we recommend, and when we would tell you to buy something else.

For Canadian small businesses that need receipts captured with GST/HST and input tax credits split out, we recommend MapleExpense: free to start, priced in CAD, every receipt coded to its GIFI line for the T2, unlimited team members, and data stored in Canadian data centres. If your team needs a fully French app or approval workflows, Zoho Expense is the better pick; Hubdoc suits Xero or QuickBooks users.
Full disclosure: MapleExpense is made by Joel & Nanz Inc., the company behind this page. We built it because of the gaps we found below. No other vendor paid to appear here.

What we found

We compared Expensify, Dext, Zoho Expense, Hubdoc and Rydoo with MapleExpense. The differences that matter in Canada:

  • Currency. Expensify lists billing currencies that do not include the Canadian dollar (though it does track GST and HST on expenses), and Rydoo prices in euros, US dollars or pounds. Dext, Zoho Expense and Hubdoc publish CAD prices.
  • Per-user pricing. Most tools charge per user, so adding your bookkeeper or a second employee raises the bill.
  • Input tax credits. Getting GST/HST split out on every receipt is what saves time at filing. Check that your tool does this before you load a year of receipts into it.

MapleExpense was built around CRA rules from day one: GST/HST/ITC tracking and GIFI coding for the T2 on every plan, and the whole team on one subscription.
