Best Business Email for Canadian Small Businesses

We looked at 6 business email products sold to Canadian small businesses. Here is what we recommend, and when we would tell you to buy something else.

For a Canadian small business that needs email on its own domain, we recommend MapleMail: priced per account in Canadian dollars with mailboxes included, and mail stored in Canada. Zoho Mail is the strongest alternative, with Canadian data centres and a French interface. If you want documents and meetings in one bill, choose Microsoft 365.

What we found

We compared the business email services Canadian owners ask us about most: Google Workspace, Microsoft 365, Zoho Mail, Proton and Fastmail, plus our own MapleMail. Three things separated them.

  • Where the mail lives. Google Workspace offers US or EU data regions and Fastmail offers US or EU, so neither publishes a Canadian option. Proton is Swiss. Microsoft and Zoho both publish Canadian data centres, and Zoho Mail also has a French interface and round-the-clock support on paid plans.
  • How you are billed. Every major suite charges per user, so the bill grows with every hire. Proton lists prices only in US dollars, euros or Swiss francs.
  • What you are actually buying. Google and Microsoft sell a productivity suite with email inside it. If you already have your documents and meetings sorted, you are paying for software you will not open.

That gap, Canadian-stored email at a flat account price, is why we built MapleMail.

Pick something else if you need shared documents, spreadsheets and video calls from the same vendor, or very large mailboxes: the suites below include far more storage per user.

Choose it if: Very small teams on a tight budget that are happy in Zoho's webmail and want Canadian data centres.

Where it beats us or others: Canadian datacentres (Toronto primary, Montreal secondary) and a forever-free tier for up to 5 users.

Watch out for: Free plan excludes IMAP/POP/ActiveSync, so desktop/phone mail clients need a paid plan.

Microsoft 365 Business by Microsoft

Business Basic C$9.50/user/month, paid yearly (in CAD, plus HST or applicable sales taxes; vendor pricing, checked 2026-10-23)

Choose it if: Teams that already work in Word, Excel and Teams and want email in the same subscription.

Where it beats us or others: Canada is a Microsoft 365 local data geography with an Advanced Data Residency option.

Watch out for: Listed prices are annual-commitment ('paid yearly... auto renews'); Standard/Premium now bundle Copilot at CAD $31.90/$43.40.

Google Workspace by Google

Business Starter C$9.20/user/month (Flexible plan) (in CAD, plus HST or applicable sales taxes; vendor pricing, checked 2026-10-23)

Choose it if: Teams that live in Gmail, Docs and Meet and do not need their data stored in Canada.

Where it beats us or others: CAD pricing published directly; Business Starter at CA$9.20/user/month is one of the lowest-cost full custom-domain suites shown.

Watch out for: No Canadian data region: data region choices are only US, EU or no preference.

Fastmail for Business by Fastmail

From C$3.75/user/month billed yearly (C$5 monthly) (in CAD, plus HST or applicable sales taxes; vendor pricing, checked 2026-10-23)

Choose it if: Privacy-minded teams that want a clean, fast mail service and are fine with US or EU storage.

Where it beats us or others: Low CAD pricing (from C$3.75/user/month yearly) with a 30-day free trial and 24/7 human support listed.

Watch out for: Data stored in US (or EU) only; backups and logs always in the US.

Proton Business by Proton AG

Workspace Standard US$12.99/user/month billed yearly (in USD as listed by the vendor, plus applicable taxes; vendor pricing, checked 2026-10-23)

Choose it if: Businesses whose top priority is end-to-end encryption and Swiss jurisdiction.

Where it beats us or others: End-to-end encrypted email suite with 24/7 support and live chat listed on both business tiers.

Watch out for: Billed in USD/EUR/CHF only (no CAD) and data hosted under Swiss jurisdiction, not in Canada.
